Bilingual Event Planning Coordinator
We're looking for a seasoned and talented Bilingual Event Planning Coordinator to become an integral part of our team. As the Bilingual Event Planning Coordinator, you'll play a key role in crafting and implementing strategies that prioritize creating seamless event experiences, guaranteeing satisfaction and the meeting of objectives at every stage of the planning process.
Responsibilities:
- Work together with our sales reps and sales leaders to identify and evaluate marketing opportunities that improve brand awareness, generate leads, and drive revenue growth in their respective markets.
- Coordinate all logistical aspects, including shipping, proper equipment accommodation, and scheduling, ensuring smooth event execution.
- Develop and communicate comprehensive timelines to guide the planning process and ensure all tasks are completed in a timely manner.
- Oversee the execution of events, managing vendors, attendees, meetings and troubleshooting any issues that may arise.
- Quickly address and resolve any unforeseen challenges or issues that may emerge during the planning and execution phases.
- Ensuring that all generated leads are imported, tagged for tracking, and assigned to the appropriate teams for follow-up in a timely manner. You may work with other stakeholders on several of these tasks, including with the direct importing of leads. However, the Event Planning Coordinator will maintain overall responsibility for lead management and coordination and may at times be required to enter data manually into the CRM.
- Maintain regular communication with manager, providing updates, gathering feedback, and ensuring that their vision and goals are achieved.
- Contribute creative ideas for event themes, decor, and overall design to enhance event experiences and our company’s reputation with target audiences.
- Part of your role will also consist of pre- and post-event email communication. However, with virtually all team members frequently leveraging email marketing for their own specific objectives, you may be asked to assist or take the lead on special campaigns and projects as the need arises.
- Keep detailed records of all event-related activities, contracts, and communications for future reference and improvement.
- Conduct post-event evaluations to gather feedback, assess the success of the event, and identify areas for improvement.
An Event Planning Coordinator needs a perfect blend of organizational skills, creativity, and adaptability to achieve results in this position.
Requirements:
Essential Skills and Experience:
- Bilingual - English and Spanish
- Self-motivated and a quick learner who can work independently as well as part of a team.
- Ability to multitask and prioritize multiple projects/events.
- Goal-oriented and dependable.
- Ability to work in a dynamic, fast-paced environment.
- Proven job reliability, diligence, dedication, and attention to detail.
- Positive, competitive, and determined attitude.
- Experience with event planning and trade shows (which could involve lifting 50 lbs. and standing on your feet for 6-8 hours).
- Excellent verbal and written communication skills.
- Travel will be negligible with high season during certain times of the year, but flexibility to do so up to 20% of the time if needed.
- Microsoft Office (Word, Excel and PowerPoint) proficient.
Preferred, but Not Required Skills and Experience:
- Experience with Adobe Creative Suite (Photoshop, Illustrator, etc.) and design/creative skillset.
- Familiarity with CRM software (CRM 365 a plus)
- Previous experience with coordinating events, particularly for those with a focus on the hospitality industry or related vertical markets.
