PROJECT COORDINATOR

SUMMARY

Under direct supervision of the Project Manager the Project Coordinator (PC) is primarily responsible for coordinating the order entry, purchasing, scheduling, releasing, delivery, and possible installation of customer orders in a timely manner. The PC is responsible for ensuring that each detail in the customer’s order is addressed by managing orders from the point of contract through final resolution, which may include post installation and/or service issues. They work closely with sales teams, order fulfillment teams and 3rd party providers to achieve and provide excellent customer satisfaction. They must be able to work well in a team environment.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Receive purchase orders from sales or if received by customer forward purchase order to sales
  • Receive from sales: sales write up, order confirmation, and the contact to send drawings to
  • Verify receipt of all necessary documentation to process the order
  • Provide copy to accounting
  • Assign MD-US project number
  • Record purchase order with accounting and on F:/Shared/Standardjoblisting.xls
  • Create a binder for job history
  • Update schedules
  • Create shop drawings for approval from quote and purchase order
  • Submit drawings for approval (with electrical schematics if needed).
  • Answer any questions about shop drawings
  • Prompt approval of shop drawings (if needed)
  • Re-submit drawings if any changes are indicated
  • Run calculation in MPS and print off production papers
  • Order nonstock items form production papers and sales write up
  • Verify receipt of order confirmation from vendor
  • File copies of orders in binder as well as master purchase order book
  • Assign delivery week to coordinate with material delivery
  • Make up production papers and give to manufacturing
  • Tracking of material arrival in time for production
  • Send signed order confirmation to customer and file in corresponding binder
  • Resolve manufacturing questions from vendor (i.e., control panel options)
  • Record deliveries of nonstock items in master purchase order book
  • Create installation package (original shop drawings, approved shop drawings, sign off, sheets, directions (if driving), any other pertinent information
  • Verify delivery week with manufacturing
  • Coordinate pre installation with door company (i.e., equipment needed and tools required)
  • Coordinate an installer (if needed) with installation coordinator
  • Ship all material for project
  • Submit paperwork to accounting for invoicing
  • Review installation progress with installer
  • Obtain sign off sheets from installer (or door company if not installed by Megadoor)
  • Create Maintenance manual for specific project
  • Ship maintenance manuals to door company along with customer satisfaction survey
  • Verify all purchase orders and confirmations are in job binder
  • File completed binder on shelf
  • Maintain folder of completed standard doors

 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

Knowledge of general construction management

Experience with architectural drawings

Knowledge of contracts

Strong written and verbal communication skills

Strong organizational skills, attention to detail, and assertiveness

Demonstrate a “sense of urgency” on getting tasks closure

Possess problem resolution skills and work collaboratively with others

Knowledge of LEED requirements and documentation

 

 

EDUCATION and/or EXPERIENCE

Five to seven years with construction administration including schedule of values, contract review, certificate of insurance, lien waivers preferred.  Paralegal or law clerk experience helpful but not required.

 

 

WORK ENVIRONMENT/PHYSICAL DEMANDS

Office, Monday through Friday, 8:00 am – 5:00 pm

Travel, as required
