Project Coordinator - Enterprise Applications

ASSA ABLOY Americas division comprises companies in North, Central, and South America. The division manufactures and sells door opening solutions: locks, cylinders, electromechanical products, security doors and fittings. The America’s division is in the process of consolidating ERP systems throughout all Business Units onto the JD Edwards EnterpriseOne ERP platform.
 

ASSA ABLOY Americas is seeking a Project Coordinator. The Project Coordinator will assist in the administration and management of a portfolio of projects related to Shared Services Applications. The Project Coordinator will work with project managers, solution architects, and functional leads (both internal staff and external consultants) that drive the attainment of the division’s roadmap of application change, conversion, and implementation projects.


What you will be doing:


The Project Coordinator manages the activities and resources for small to medium complexity projects. Collaborates with all relevant stakeholders on the development and implementation of strategic business solutions through research, audit, and analysis of data and/or business processes. Work spans a broad array of projects and focuses on improving and sustaining ASSA ABLOY’s IT structures, processes, and outcomes. Ensures projects are completed on schedule, on budget, to scope, and within quality standards of ASSA ABLOY.


The Project Coordinator leads day-to-day management of Shared Services projects to completion by:
 

  • Managing scope
  • Scheduling of project activities
  • Managing budget and quality
  • Develops and manages project plans and time/cost projections
  • Creates necessary elements of project charter, work plan, and all other relevant documentation.
  • Manages project data and artifacts (tasks, RAID logs, resources, documents, etc.)
  • Collaborates with and manages all relevant stakeholders to maintain the scope, cost, schedule, and quality of projects, while maintaining project objectives and establishing project parameters, budgets, deliverables, and deadlines.
  • Identifies project and application dependencies and risks, facilitates meetings and documents meeting outputs (agenda, minutes, action items)
  • Informs all relevant stakeholders of key activities and documents periodic progress reports summarizing project status, risks, required actions, and timelines
  • Ensures satisfactory transfer of control of project upon completion (handoff)
  • May receive mentoring and guidance from more experienced PMs based on past job roles.


The ideal candidate will have knowledge of project management processes and tools; knowledge of information technology, and /or business operations; verbal and written communication skills; interpersonal skills to interact with a wide range of constituencies; and ability to convey technical information to non-technical personnel.


The ideal candidate also has an ability to establish and clarify project objectives, goals, parameters, budgets, deliverables, deadlines and the roles and responsibilities of participants; ability to identify project and application dependencies/risks; ability to develop mitigation/contingency plans; ability to organize and manage resources; and ability to prepare and present periodic project progress reports.


Day-to-day responsibilities will include:
 

  • Lead projects in the role of project manager
  • Work closely with stakeholders at all levels including business leadership, executive teams, project teams, and business users
  • Interface with the Shared Services technology team, and with external managed services providers
  • Interface with Shared Services teams including JD Edwards, infrastructure, business intelligence, e-commerce and EDI, supply management
  • Participate in various internal business and technology councils and other groups
  • ASSA ABLOY is a global company; travel is required, mostly in North America, also to some extent in Central and South America


Skills and Qualifications Required:
 

  • Entry Level to 2 years’ experience.
  • Highly motivated and shows initiative; exceptional organizational and time management skills
  • Ability to effectively prioritize and execute tasks in a fast paced, high velocity, environment; ability to stay focused on responsibilities, meet deadlines and manage competing priorities under pressure
  • Ability to drive effective meetings; workshops, design and problem solving sessions
  • Able to scale, apply, and adapt project management methodologies and frameworks;
  • Demonstrate and apply strong problem solving, analytical, and conflict management skills
  • Ability to present ideas in business friendly and user friendly language; demonstrated aptitude for working with, supporting, and communicating with users and customers
  • Experience working in a team-oriented, collaborative, shared-services environment, across multiple divisions with a variety of operating environments, application software, tools and technologies
  • Proficient in MS Project, Word, Excel, Outlook and PowerPoint
  • Must be available to work continuously in the US without sponsorship
  • 4 year College degree in Information Technology, Engineering or Business; Relevant education and experience will be considered


Additional skills desired:
 

  • Some background and understanding of operational processes in a manufacturing environment; functional competency in manufacturing, distribution and financials
