Project Coordinator

We’re expanding our Commercial Segment and seeking to hire a Project Coordinator. This role will contribute to growth, profitability, and cash flow by establishing and managing customer credit limits to support sales, while minimizing risk and ensuring compliance with payment terms.

 

This position will sit onsite full-time in New Haven, CT and report to the Senior Manager, EAC Security & Operations.


What you will be doing:

 

  • Manage project scope, schedules, and execution activities for authorized Electronic Access Control (EAC) channel partners.
  • Support project operations through JD Edwards (ERP) order fulfillment, including sales orders, purchase orders, and Return Goods Authorization (RGA) processing.
  • Coordinate and manage professional services resources, including installation teams, to ensure successful project delivery.
  • Provide exceptional customer service and support throughout project lifecycles and business operations.
  • Prepare, maintain, and distribute reports related to project and business performance.
  • Develop and manage comprehensive project plans, schedules, budgets, and cost projections.
  • Create and maintain project charters, work plans, and all required project documentation.
  • Collaborate with cross-functional stakeholders to manage project scope, budget, schedule, quality, deliverables, and deadlines while ensuring alignment with business objectives.
  • Identify project dependencies, risks, and issues; facilitate project meetings and document outcomes, including agendas, meeting minutes, and action items.
  • Communicate project status, milestones, risks, and required actions through regular stakeholder updates and progress reports.
  • Ensure successful project closure and transition through effective project handoff and knowledge transfer processes.
  • Lead projects in the role of Project Manager, driving execution and accountability throughout the project lifecycle.
  • Partner with stakeholders at all organizational levels, including business leaders, executive management, project teams, and end users.
  • Collaborate with Shared Services technology teams and external managed service providers to support project and operational initiatives.
  • Work closely with Shared Services teams, including JD Edwards, Infrastructure, Business Intelligence, E-Commerce, EDI, and Supply Management functions.
  • Participate in internal business, technology, and governance councils to support organizational initiatives and continuous improvement efforts.
  • Seek and apply mentorship and guidance from senior project management professionals to enhance project delivery effectiveness.

What we are looking for:

 

  • Bachelor's Degree in Computer Science, Information Systems, Engineering, Business Administration, or a related field.
  • Strong organizational, multitasking, and time-management skills with a demonstrated ability to take initiative and work independently.
  • Proficiency in Microsoft Office Suite, including Microsoft Project, Word, Excel, Outlook, and PowerPoint.
  • Strong written, verbal, presentation, and interpersonal communication skills.
  • Demonstrated ability to manage multiple projects and competing priorities simultaneously.
  • Ability to work effectively within cross-functional teams in a fast-paced, dynamic environment.
  • Proven ability to prioritize tasks, meet deadlines, and perform under pressure.
  • Strong facilitation skills, including the ability to lead meetings, workshops, design sessions, and problem-solving discussions.
  • Analytical thinking, problem-solving, and conflict-resolution capabilities.
  • Ability to communicate complex concepts effectively to both technical and non-technical audiences.
  • Experience working in collaborative, team-oriented, and shared-services environments across diverse business units, technologies, and operating platforms.

 

Preferred:

 

  • Minimum of 2 years of experience in a customer-focused role.
  • Project Management Professional (PMP) certification or progress toward certification.
  • Knowledge of electromechanical systems and access control hardware.
  • Experience with JD Edwards ERP systems.
  • Familiarity with project management methodologies, frameworks, and best practices, with the ability to adapt them to varying project needs.
  • Experience supporting multiple divisions and working with a broad range of applications, tools, technologies, and business stakeholders.
