The Facilities Operations Specialist is a high-accountability, mid-senior level role responsible for driving work order management, parts procurement support, backend system optimization, and strict vendor contract compliance.

 

 

This role operates within a high-volume, fast-paced manufacturing environment where smooth maintenance dispatch and parts availability directly impact production output. We are seeking an established external coordinator who can bring proven data, tracking, and inventory coordination practices to our site. This is an administrative and operational ownership role with limited learning curve. Internal applicants or candidates lacking direct, multi-year external manufacturing facilities experience will be immediately disqualified.

 

 

This position will be situated onsite in New Haven, CT full-time reporting into the Facilities Manager.

 

What you will be doing 

 

  • Own & Configure the CMMS: Act as the technical authority to configure the platform, build workflows, and ensure clean system data.
  • Manage Work Order Triage: Triage, prioritize, and assign incoming requests across all physical building systems (Hard Services) and support operations (Soft Services).
  • Coordinate Materials & Parts Procurement: Source, order, and track specialized facilities materials and maintenance parts to prevent work order delays.
  • Enforce Strict Vendor SLAs & KPIs: Audit response times, build performance dashboards, and aggressively hold third-party contractors accountable to strict performance timelines.
  • Deliver Executive-Ready Data: Package work order volume, parts spend, and completion trends into high-visibility, data-driven KPI reports for the Facilities Manager.
  • Navigate Labor Dynamics: Authoritatively coordinate work tracking and ticket closure alongside plant production and highly skilled union mechanics.
  • Monitor operational Service Level Agreements (SLAs) to guarantee rapid emergency dispatch and minimize open work orders in an active manufacturing setting.
  • Support SLA implementation for third part vendors/
  • Coordinate vendor schedules, write clear scopes of work for tickets, and critically evaluate contract quotes.
  • Ensure all assigned external technical crews provide proper safety documentation (OSHA, Lockout/Tagout) before work orders begin.

 

What we are looking for

 

  • Minimum 5+ years of experience in external facilities operations, work order coordination, or maintenance dispatch experience within a fast-paced manufacturing environment.
  • Proven hands-on experience configuring, customizing, or administering enterprise CMMS/IWMS platforms (e.g., Planon, Maximo, eMaint, Fiix).
  • Inventory & Ordering Background: Demonstrated experience coordinating parts procurement, managing supplier timelines, and tracking material spend.
  • Demonstrated success managing a high volume of maintenance tickets across technical trades (HVAC, Electrical, Plumbing) and site services (Janitorial, Waste).
  • Core competency tracking contract timelines, developing performance targets, and presenting maintenance performance metrics (MTTA, MTTR, MTTC) to management.
  • Experience operating within a unionized workforce and regulated industrial facilities environment.
  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to work collaboratively in a team environment.
