The Role:
The Service Contract Renewal Specialist is responsible for managing the full lifecycle of service contract renewals across the organization. This role ensures timely renewal of service agreements, maintains accurate contract and billing records, and serves as the primary point of contact for customers throughout the renewal process. The Specialist works cross-functionally with the billing, legal, and contracts teams to ensure revenue continuity and customer retention.
Key Responsibilities:
Contract Renewal Management
- Proactively send renewal notices to customers in advance of contract expiration dates
- Identify and route automatically renewing contracts to the billing team for processing
- Collect required customer signatures on contracts that do not auto-renew
- Follow up with customers via email and phone when renewal responses are not received
- Coordinate with the billing team to issue pre-cancellation letters via UPS for non-renewing accounts
- Maintain accurate renewal status tracking across all active contracts
Reporting & Analysis
- Run an expired contract report on the first of each business month and take appropriate follow-up action
- Track renewal rates and flag at-risk accounts for management review
Billing & Payments
- Process credit card payments for contract renewals
- Coordinate with the contract billing team on invoicing and payment application
- Support billing reconciliation using Billtrust
Contracts & Legal Support
- Assist the Contract Manager with routing and execution of contract amendments and addendums via Agiloft
- Ensure documentation is complete and properly filed for all executed agreements
Qualifications:
- 2+ years of experience in contract administration, renewals, billing, or a related role
- Strong organizational skills with the ability to manage a high volume of accounts and deadlines
- Effective written and verbal communication skills; comfortable with customer-facing outreach including phone calls
- Experience with CRM and ERP systems preferred; familiarity with Agiloft, BAAN, or Billtrust a plus
- Detail-oriented with a high degree of accuracy in data entry and record-keeping
