HRIS/Payroll Specialist

 

Job Summary

The HRIS/Payroll Specialist will work directly with ASSA ABLOY Americas Residential payroll team to ensure timely and accurate processing of payrolls for multiple countries as assigned.  The incumbent will be responsible for all tasks necessary to accomplish the organization's payroll processing objectives, including relationships with other HR staff, payroll vendors, internal and external auditors and state and federal agencies. 

 

Assist with administering any of the company's employee benefits programs, related to payroll.  Provides interactive support with payroll to ensure proper payment, funding and taxation of employee benefit programs.  The HRIS/Payroll Specialist administers day-to-day payroll and HRIS functions, guarantees data accuracy in payroll records, integrates system updates, and supports HR and employee requests.

 

This HRIS/Payroll Specialist JD blends payroll processing proficiency with HR system management and employee service orientation, aligning with best practices for this hybrid HR-IT role.

 

Primary Duties and Responsibilities

 

HRIS/Payroll Specialist:

  • Knowledge of integration processes within HRIS to Payroll systems.
  • Ability to assist with and have critical role with integration projects to and out of payroll system/platform.  
  • Collaborate with project teams to plan, test , and implement system upgrades, integrations, and new HR technology solutions.
  • Enter, maintain, and process employee information within payroll and HRIS systems, including compensation, time worked, paid leave, and deductions.​
  • Ensure proper calculation, withholding, and remittance of federal, state, and local payroll taxes.​
  • Process payroll for employees (bi-weekly/semi-monthly), including regular and off-cycle payments.​
  • Reconcile payroll to the general ledger and monthly bank statements.​
  • Ensure proper onboarding for new employees in HRIS and payroll systems.​
  • Prepare, review, and distribute payroll reports, and support annual audits.​
  • Administer benefits, including enrollment, billing, and coordination with vendors; process leaves and update benefit records.​
  • Respond to employee payroll- and benefits-related inquiries and resolve discrepancies.​
  • Maintain confidentiality, data accuracy, and compliance with regulations.​
  • Support HR operations, including new hire orientation and employee engagement activities.
  • Primary objective is to assist in processing payroll for multiple countries as assigned in a timely and accurate manner while providing excellent customer service to all levels of employees.
  • Manage international payroll data through various sources, including Excel, SuccessFactors (GPS), third party payroll vendors.
  • Ensure all payroll data is in compliance with applicable regional and country specific payroll regulations and corporate policies.
  • Audit changes (new hires/joiners, pay changes, terminations/leavers) that come from SuccessFactors (GPS) HRIS each pay period to ensure payroll accuracy.
  • Maintain supplemental payroll inputs such as wage garnishments, loans, or levies.
  • Support reporting, tax filing, and vendor requests pertaining to each payroll run.
  • Running reports as requested by the business, ensuring payroll results and general ledger reports are transmitted to Finance.
  • Review system generated reports, determine if accurate processing was accomplished, and correct any errors.
  • Perform payroll control reconciliations.
  • In collaboration with external providers, stay current on payroll practices and regulations for assigned countries.
  • Develop relationships with providers, HR leaders, and Country HR Managers to ensure the smooth flow of payroll related information.
  • Responsible for answering employee questions and troubleshooting issues in a timely manner.
  • May be required to perform additional tasks as directed by supervisors or management.

 

Education and Experience Profile

  • A bachelor’s degree in Payroll, Accounting, HR, or Finance, and;    
  • 2+ years’ experience in payroll and/or HRIS support, including multi-state payroll processing.
  • Requires 3+ years’ related experience in a professional role.
  • Relevant certifications (Fundamental Payroll Certification, FPC; Certified Payroll Professional, CPP) recommended.
  • Proficiency with HRIS and payroll systems & HRIS (SuccessFactors (GPS), Workday, Dayforce).​
  • Strong knowledge of payroll tax compliance, benefits administration, and labor laws.​
  • Prior payroll processing experience with more than one country preferred.
  • Experience with cloud-based payroll systems, preferably working with outsourced services.
  • Experience with time shift models.

 

Preferred Qualifications

  • Experience supporting employee benefits and HR compliance reporting.​
  • Ability to reconcile payroll data, payroll tax accounts, and support audits.
  • Experience with benefits systems (i.e., Alight, Matrix, Reliance) is a plus.

  • Requires knowledge of standard payroll concepts, practices, and procedures.

  • Proficiency in Microsoft Programs such as Word, PowerPoint, Excel, Access.
  • Strong analysis auditing skills with expert time management, problem-solving, & strong data analysis skills.
  • Self-motivated with the ability to complete tasks efficiently, timely and accurately.
  • Ability to work independently as well as in Teams, propose solutions to problems, and multi-task.
  • Ability to exercise sound judgment, set priorities in order to meet deadlines, organize, implement, and administer effectively in all areas of accountability.
  • Exceptional attention to detail.
  • Demonstrated maturity, sensitivity, and respect in dealing with different level of employees in a fast-paced environment.
  • Proven ability to function well under pressure.

Work Environment:

Working conditions are normal for an office environment.

 

Pay Range: $57,433- $90,252.

 

This “base salary range” is a reasonable estimate for this position at the time of posting. Pay within each range is based on a variety of factors including, but not limited to, to primary work job-related knowledge, skills, experience, business requirements and geographic location. ASSA ABLOY conducts regular review of compensation ranges and therefore reserves the right to alter this range at any given time.
