Your Role in Keeping the Future in Safe Hands…
This role will work closely with Leadership, Finance, Sales, Product, Engineering, Manufacturing, Customer Support, Supply Chain, HR, and external vendors to ensure the workplace operates efficiently, professionally, and is always prepared to support employees, customers, candidates, vendors, and visitors.
The Office Coordinator owns the coordination of front office operations, workplace readiness, facilities coordination, administrative support, office logistics, vendor relationships, and employee engagement logistics while enabling leaders to remain focused on core business priorities.
Key Responsibilities in your role…
Front Desk & First Impression Ownership
- Own the daily operation of the front office and reception experience.
- Welcome visitors, candidates, customers and vendors while ensuring a professional first impression.
- Manage inbound calls, route inquiries appropriately and exercise sound judgment when escalating matters.
- Conduct office tours for candidates, customers, vendors and new employees.
- Maintain reception, conference rooms, and common areas in a constant state of readiness.
Administrative & Cross-Functional Support
- Serve as the primary administrative coordination resource supporting all business functions.
- Coordinate meetings, projects, scheduling and logistics across departments.
- Support ad hoc initiatives while continuously identifying opportunities to streamline recurring work.
- Coordinate defined administrative activities in accordance with established processes.
Office Operations & Facilities Management
- Own day-to-day office operations and workplace readiness.
- Coordinate facilities issues, maintenance, vendors and landlord requests through completion.
- Manage office access, keys, badges, alarms and visitor administration.
- Coordinate shipping, receiving, mail, deliveries, office supplies and inventory.
- Prepare meeting rooms, onboarding spaces and executive/customer visit logistics.
Culture, Events & Engagement Support
- Coordinate employee recognition, office events and engagement initiatives.
- Support onboarding logistics and workplace communications.
- Partner with HR on culture and sustainability initiatives.
Proactive Improvement & Business Support
- Continuously identify opportunities to improve office operations and reduce administrative friction.
- Demonstrate ownership, initiative, accountability, and follow-through.
- Learn new systems quickly and adapt to changing business priorities.

Qualifications
- 3+ years in office coordination, administration, hospitality, or related experience.
- Strong Microsoft Office proficiency (Outlook, Excel, Word, Teams, PowerPoint).
- Excellent organization and customer service skills.
- Ability to independently learn new systems.
- Ability to walk throughout the facility, conduct tours, prepare meeting spaces, and occasionally lift up to 25 pounds.
