About The Role

  • We are looking for a proven results focussed Sales Admin / Purchasing Officer to join the team, based in Hendon, SA. The role will be responsible for Sales Administration and for supply of materials, equipment and consumables, in consultation with Project Managers and Production Manager.

The responsibilities will include but not limited to the following:

  • Determine requirements for supply of materials, equipment and consumables, in consultation with Project Managers, Production Manager and details from project files.
  • Liaise with suppliers to determine the availability and suitability of materials and services
  • Negotiate best price and delivery with suppliers in order to meet production schedule and project deadlines.
  • Place purchase orders listing specific technical requirements, price and delivery through the business accounting system
  • Maintain and manage the purchasing module within the accounting system
  • Maintain and manage the Monday.com programme ensuring all Sales and Purchasing functions are up to date as per the process guidelines
  • Ensure job packs are updated with relevant Sales/Purchasing information
  • Ensure materials and services are provided in accordance with specification and agreed delivery. Chase up suppliers to ensure delivery is going to be met
  • Develop and implement purchasing management information to assist in the communication and control of materials for the benefit of other staff
  • Update stock control program with weekly stock transfers
  • Process all materials receipts against purchase order

 

Administration & Systems

  • Assist Finance Manager in Administration support when and as required
  • Provide back up support for other members of Operations team
  • Assist Sales team with Admin functions
  • Greeting clients via phone or in person
  • Ensuring the phones are answered in a timely and professional manner. Accurate messages taken are passed on to the recipient promptly.
  • Maintain stock levels of stationery and staff amenities
  • Filing, scanning and photocopying
  • Maintain efficient, clean and tidy work area

The ideal candidate will be results oriented with a hands-on approach and a sense of responsibility and ownership.  You will bring a high level of structure, energy and autonomy and the ability to work in cross functional teams.
