Due to continued growth and expansion, we are seeking an experienced and highly organised Installations Co-ordinator to join our team based in Dublin.
The Opportunity
Reporting to the Installations Manager, you will play a vital role in coordinating equipment installations nationwide, working closely with our Installation Engineers, Installation Helpers, subcontractors, suppliers, and customers.
This role is ideal for someone with strong project coordination or project management experience who thrives in a fast-paced environment and enjoys managing multiple priorities while delivering excellent customer service.
Key Responsibilities
Installation Coordination
- Coordinate equipment installations, including scheduling installation teams, arranging deliveries, and agreeing installation dates with customers
- Plan and manage engineer workloads, ensuring resources are allocated efficiently and highlighting any project overruns.
- Act as the primary customer contact for installation scheduling, progress updates, and issue resolution.
- Liaise with customers and lead engineers to ensure all site requirements are completed to prevent installation delays.
- Coordinate and monitor third-party subcontractors.
- Ensure all installation documentation is completed, signed by customers, and submitted accurately.
- Arrange specialist equipment hire required for installation projects.
- Organise accommodation for installation teams when required.
- Manage warranty claims relating to both equipment and customer issues.
Logistics
- Liaise with Group factories and third-party suppliers regarding equipment delivery schedules.
- Coordinate transportation of equipment to customer sites or company warehouses while monitoring costs.
- Ensure all required equipment is available on-site before installation work begins.
Health & Safety
- Prepare and maintain site-specific RAMS (Risk Assessments and Method Statements).
- Maintain records of all engineer training certifications, including Safe Pass, Manual Handling, MEWP, and other relevant qualifications.
- Prepare and manage site access and induction documentation.
Service Contract Support
- Maintain records of completed installations to identify opportunities for service contract renewals and new service agreements.
- Work closely with Area Service Managers to provide customers with service contract proposals following project completion.
What We're Looking For
- Previous experience in project coordination, project management, installations planning, or a similar operational role.
- Experience managing multiple projects and stakeholders simultaneously.
- Experience working with field-based teams and subcontractors is desirable.
Skills & Competencies
- Excellent customer service and communication skills.
- Ability to build strong working relationships with customers, suppliers, and colleagues.
- Comfortable working under pressure and managing competing priorities.
- Strong proficiency in Microsoft Office, particularly Excel and Word.
- Experience using scheduling, planning, or project management systems is advantageous.
- Proactive approach with the ability to anticipate challenges and implement solutions.
- Strong problem-solving and decision-making skills.
- Outstanding organisational and planning abilities.
- Ability to multitask effectively in a busy, dynamic environment.
- Strong attention to detail and commitment to delivering high-quality outcomes.
