Our Operations office is in search of a facilities coordinator, who is multi- skilled and can balance technical maintenance with good people skills.

The Facilities Coordinator plays a crucial role in ensuring the overall cleanliness, safety, and functionality of the physical workspace, this role involves daily maintenance, troubleshooting, and supporting the smooth operation of the facility.

 

The facilities coordinator will collaborate with various departments and act as the liaison between employees and any outside contacts to ensure that all related needs are met promptly and efficiently, while taking the lead on safety initiatives.

 

The ideal candidate for this role will have the opportunity to lead other special projects as assigned and be crossed-trained in other areas as needed. This position reports into the Customer Service Manager.

Physical Access Control Solutions (PACS)

As our Facilities Coordinator, you’ll support HID’s success by:

  • Planning and coordinating installations of internal building maintenance and managing third-party contractors.
  • Coordinating with vendors for repairs, equipment servicing, and facility projects.
  • Coordinate and manage the routine maintenance tasks, including lighting, plumbing, HVAC, and general repairs throughout the facility.
  • Conduct regular inspections of the building to identify potential issues.
  • Report findings and take corrective actions when needed.
  • Overseeing building projects and or renovations. 
  • Monitor and manage janitorial service and supplies.
  • Ensuring the facility is always clean and safe.
  • Procure janitorial supplies and maintain the inventory for these supplies. 
  • Manage Café supplies and Appliance maintenance.
  • Ensuring basic beverage supplies are maintained and appliances are in good working order.
  • Procuring and managing the inventory for the Café supplies.
  • Managing the intercom system, door, and phone, greet guests and give facility tours.
  • Maintain first aid supplies and fire extinguishers.
  • Manage outside vendors to purchase first aid supplies and oversee maintenance of fire extinguishers.
  • Manage office supply inventory.
  • Coordinate the purchasing of office supplies.
  • Plan and manage occasional facility events.
  • Setup and tear down furniture and equipment for meetings/events, and other office functions.
  • Help plan and organize events, maintain the guest list and RSVP’s.
  • Ensuring adequate catering and vending services are met for events.
  • Audit and evaluate customer orders and perform customer verifications.
  • Process customer orders and RMA’s.
  • Provide customer support for RMA requests.
  • Assist in answering customer service inquiries.

 

What we will love about your background: 

  • Experience in dealing with external vendors and customers to resolve work orders
  • Has worked with purchase orders, auditing, and customer service inquiries
  • Event planning and coordination experience.

 

Your Experience and Education include:  

  • 2+ years of experience in facilities role and working in an operations office and environment
  • High School/GED equivalent, some college education preferred.
  • Ability to work both independently and as part of a team.
  • Fosters and develops positive relations with vendors, customers and facility employees
  • Ability to manage and prioritize critical tasks with high attention to detail
  • Strong orgazational skills and ability to multi-task
  • Team player who is ready to jump in and support where needed and has the ability to be cross-trained in other areas.

The base salary in the California area is $51,000 to $57,000
