What you would do as our Senior Executive Assistant

As a Senior Executive Assistant within the Global solutions division of ASSA ABLOY, you will have the opportunity to play a pivotal role in supporting our EVP. Your role will involve high-level administrative support, project coordination, and acting as a key liaison between the EVP and other members of the Global Solutions senior management team, along with various other stakeholders.

 

Reporting to our Executive Vice President and Head of Global Solutions, you will be responsible for managing complex schedules, coordinating management meetings and consolidating content, handling confidential communications, and organizing travel plans, among other administrative tasks. Your expertise and experience will be crucial in maintaining the seamless operation and support of our EVP.

 

You would also:

• Efficiently schedule, coordinate, and manage the EVP's calendar, ensuring all meetings, appointments, and events are properly organized and prioritized. And manage incoming and outgoing communications, including emails, phone calls, and correspondence, ensuring timely and accurate responses.

• Prepare, edit, and proofread documents, presentations, and reports for the EVP, ensuring high-quality and professional output. Act as a key point of contact between the EVP, Senior management team and other internal/external stakeholders, facilitating effective communication and collaboration.

• Arrange and coordinate meetings, including booking meeting rooms/venues, preparing detailed agendas, taking minutes, and following up on action items. Your attendance will be needed for some of the events / meetings to ensure on site coordination.

• Plan and book comprehensive domestic and international travel itineraries, including flights, accommodations, transportation, and visa arrangements, while managing travel-related expenses and reimbursements.

• Assist in the planning, coordination, and execution of special projects and initiatives within the Global Solutions department, tracking progress, deadlines, and deliverables. And also coordinate with vendors, and assist in organizing company events, conferences, and team-building activities.

 

The skills and experience you need
We are looking for someone who has:

• A minimum of 7 years of experience as an Executive Assistant or in a similar high-level administrative role, preferably in a global or multinational company.

• Excellent organizational and time management skills, with the ability to multitask and prioritize effectively. And Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

• Strong written and verbal communication skills in English and Spanish, with the ability to interact professionally with executives, clients, and colleagues at all levels.

• High levels of accuracy and attention to detail in all your work, ensuring all tasks are completed to the highest standard. Ability to handle confidential and sensitive information with the utmost discretion and professionalism.

• Availability to travel. 30%-60%.
