Your Role in Keeping the Future in Safe Hands:

The OTC QA Specialist I supports quality, accuracy, controllership, credit risk administration, and data integrity across the Order-to-Cash organization. The role performs transaction reviews, cash application audits, customer account setup and maintenance validation, foundational credit reviews, reconciliations, cash research, and exception management in accordance with approved procedures, delegated authority, and internal controls.

The Specialist serves as a subject matter expert in cash application processes and acts as the operational owner of unidentified and unapplied cash activities. Working closely with Cash Applications, Collections, Billing, Accounting, Treasury, Sales, and Project Management teams, this role ensures timely research, resolution, reconciliation, and accurate application of customer payments while maintaining strong internal controls and cash management practices.


Essential Duties and Responsibilities: 

Cash Application Quality & Controllership

  • Perform daily and periodic quality reviews of cash application transactions.
  • Audit lockbox, ACH, wire, virtual card, credit card, and other payment transactions for accuracy and completeness.
  • Validate payment applications against remittance documentation, customer account activity, and invoice records.
  • Research and resolve unapplied cash, unidentified receipts, short payments, duplicate payments, overpayments, and misapplied transactions.
  • Monitor cash application exception queues and ensure timely resolution of outstanding items.
  • Review customer credit balances and assist with refund validation and processing.
  • Support month-end and year-end cash reconciliation activities.
  • Ensure compliance with company policies, internal controls, banking procedures, and audit requirements.
  • Maintain strong cash application controls to ensure accurate and timely posting of customer payments.

Unidentified & Unapplied Cash Ownership

  • Serve as the primary owner for daily monitoring, research, reconciliation, and resolution of unidentified and unapplied cash balances.
  • Maintain detailed tracking and aging of unidentified cash, unapplied cash, and payment exceptions.
  • Research remittance information through banking portals, lockbox systems, customer communications, ERP systems, and supporting documentation to accurately identify and apply customer payments.
  • Partner with Collections, Billing, Sales, Project Management, Customer Service, Treasury, and customers to obtain documentation required for payment application and account reconciliation.
  • Escalate aged, high-risk, high-dollar, or recurring unidentified cash issues to Quality Assurance leadership.
  • Perform root cause analysis on recurring unidentified and unapplied cash trends and recommend corrective actions.
  • Support month-end close activities by ensuring unidentified and unapplied cash balances are appropriately documented, reconciled, and resolved whenever possible.
  • Review and validate corrections associated with misapplied cash, duplicate payments, credit balances, and refund requests.
  • Drive reduction initiatives focused on decreasing unidentified and unapplied cash balances and improving payment identification rates.

Accounts Receivable Quality Support

  • Perform account reconciliations to identify payment discrepancies, account variances, unresolved deductions, and open customer issues.
  • Review account adjustments, write-offs, deductions, credits, and dispute resolutions for accuracy and appropriate supporting documentation.
  • Assist Collections and Billing teams with customer account research and payment investigations.
  • Validate invoice references, payment allocations, and customer account balances for accuracy.
  • Identify transaction-level errors and provide corrective recommendations.
  • Escalate recurring issues, trends, and control weaknesses to Quality Assurance leadership.
  • Support internal and external audit activities through documentation gathering and transaction validation.

Operational Monitoring & Continuous Improvement Support

  • Track and report transaction-level quality findings, errors, and exception trends.
  • Maintain logs of quality review findings, corrective actions, and resolution outcomes.
  • Identify recurring processing issues affecting cash application accuracy and AR performance.
  • Participate in root cause investigations and corrective action initiatives.
  • Support testing and validation of system changes, process improvements, and automation initiatives.
  • Assist with maintaining work instructions and process documentation by providing operational feedback and identifying opportunities for improvement.

Cross-Functional Collaboration

  • Partner with Cash Applications, Billing, Collections, Accounting, Treasury, Sales, Project Management, and Customer Service teams to resolve transactional issues and improve process accuracy.
  • Support implementation of corrective actions resulting from quality reviews, audits, and process improvement initiatives.
  • Assist with special projects, operational reviews, and departmental initiatives as assigned.

Credit Risk Administration & Customer Master Data

  • Process and validate new customer account setup requests in the ERP system using approved order, tax, legal entity, billing, and credit documentation.
  • Maintain and validate AR customer master data, including customer identifiers, billing attributes, payment terms, credit status, and required supporting documentation.
  • Perform foundational credit reviews using established checklists, credit bureau information, trade references, financial data, and internal payment history.
  • Identify incomplete documentation, data conflicts, policy exceptions, or potential risk indicators and escalate them to senior QA or Credit Risk leadership.
  • Partner with Sales, Billing, Collections, and Customer Service to resolve customer setup and credit documentation issues promptly.
  • Maintain complete audit trails for customer setup, master-data changes, credit reviews, approvals, and exceptions.
  • Support periodic reviews of customer accounts and credit files to confirm continued compliance with policy and documentation standards.

Skill Requirements and Performance Criteria: 

  • 2 – 4 years of experience in Cash Applications, Accounts Receivable, Billing, Collections, Accounting Operations, or Finance Shared Services.
  • Strong understanding of Order-to-Cash processes and cash application best practices.
  • Experience processing or auditing ACH, Wire, Lockbox, Virtual Card, Credit Card, and other electronic payment transactions.
  • reconciliation and problem-solving skills.
  • Working knowledge of internal controls, cash management practices, and audit requirements.
  • Experience with ERP systems such as Microsoft Dynamics, SAP, Oracle, or equivalent.
  • Intermediate to advanced Microsoft Excel skills.
  • Strong attention to detail and ability to analyze large volumes of transactional data.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Experience with USD and CAD currency transactions both taxable and non-taxable.  
  • Working knowledge of customer onboarding, customer master data, and foundational credit risk concepts.
  • Ability to interpret basic credit bureau information and follow established credit approval and escalation procedures.
