As our Payroll Specialist APAC, you’ll support HID’s success by: 

 

                      Payroll Administration: 

  • Review employee data (new hires, changes, additional earnings) from SharePoint to inform payroll run(s) ensuring timely and accurate processing of all changes for relating to new hires, salary adjustments, overtime, leavers etc.
  • In countries where payroll is outsourced, liaise with providers by providing accurate data in line with the agreed calendar.
  • In countries where payroll is not outsourced manage payroll processing and calculations using the relevant payroll system.
  • Administer employee payroll enquiries in a timely professional manner.
  • Ensure system-generated pay slips are distributed to employees accurately and in a timely manner.
  • Consolidate payroll register report and other payroll-related reports and seek appropriate vetting and approvals for payroll processing.
  • Prepare month-end reports and accruals related to payroll in the countries allocated to this role.
  • Co-ordinate contributions to statutory bodies (pension, social security etc.).
  • Liaise with the respective government statutory bodies for matters related to statutory or government reporting.
  • Ensure accurate, timely payment and compliance with all statutory requirements. This will include notifying finance of fund allocation.
  • Ensure the preparation of annual tax reporting is accurate and timely.
  • Ensure proper documentation and compliance for internal controls and audits.

 

                      Records Management

  •               Maintain rigorous filing of all payroll-related documentation.
  •               Archive/ Destroy payroll records in line with data protection policies and practices in the country.
  •               Support audits where required.

 

                      Continuous Improvement

  •               Support continuous improvement initiatives.
  •               Approach all tasks and problems with a Continuous Improvement mindset, working with APAC Payroll Manager on appropriate resolutions.
  •               Contribute to outsourcing projects as necessary.

      

                     Stakeholder Communication   

  • Develop and maintain good working relationships with all business stakeholders.
  • Proactively communicate with all approvers and key personnel to ensure effective coordination and approvals of payroll payments.
  • Raise issues to appropriate management levels in a timely manner to ensure fast resolution.

What we will love about your background: 

 

Education and/or Experience            

  • Minimum of 3 years experience in payroll processing, including payroll in the APAC, region.   
  • Experience in payroll processing in a manufacturing environment.
  • Experience in Multinational Company an advantage.
  • Ability to work in a dynamic environment independently with a can-do attitude.
  • Well-organized and attention to detail.
  • Team-oriented and able to establish strong effective working relationships.
  • Ability to understand challenges or underlying concerns, share ideas, and develop effective responses or escalate to management.
  • Strong customer service skills and quality focused.

 

Language Skills                  

  • Ability to effectively communicate in Malaysian and English, both written and verbal.
  • Ability to speak Chinese, an advantage.

 

Computer Skills     

  • Strong Excel (V Look Ups/Pivot Tables).
  • Proficient in other MS Office applications, such as Word, PowerPoint, etc.
