As our Payroll Lead, India & APAC, you’ll support HID’s success by:
Summary
The India Payroll Lead will sit within the APAC Payroll Shared Services team and will be mainly responsible for managing end-to-end India payroll, supporting the regional shared services model, and leading the transition from ADP to an in-house payroll model using BIPO. And also sometimes will be the back up for APAC Payroll Manager to support rest of APAC countries.
The role requires deep India payroll expertise, strong statutory compliance knowledge, payroll accounting capability, and experience delivering payroll transformation in a multinational shared services environment.
Duties and Responsibilities include the following:
Payroll Leadership & Operations
- Lead accurate, compliant, and timely end-to-end India payroll operations.
- Act as the India payroll SME for legislation, statutory compliance, governance, controls, and employee payroll matters.
- Review payroll inputs, calculations, reconciliations, approvals, salary disbursements, statutory payments, and Full & Final settlements.
- Partner with HR, Finance, Tax, vendors, and business stakeholders to resolve issues and maintain strong audit trails.
- Provide support for escalated employee payroll queries, ensuring clear communication, timely resolution, and appropriate documentation.
Payroll Transformation & Implementation
- Lead the ADP-to-BIPO transition, including requirements, process design, testing, data validation, parallel runs, UAT, cutover, and stabilization.
- Work with BIPO, HR, Finance, IT, and vendors to deliver a compliant implementation and operating model.
- Document procedures, workflows, controls, and opportunities for automation, standardization, and continuous improvement.
- Help build the in-house India payroll capability, including process ownership, controls, knowledge transfer, governance, and continuous improvement after go-live.
Governance, Compliance & Controls
- Ensure payroll operations comply with applicable Indian labour laws, tax regulations, and statutory requirements.
- Monitor changes in legislation, government notifications, CBDT circulars, EPFO guidelines, ESIC regulations, and other statutory updates affecting payroll operations.
- Assess the payroll impact of new regulations, public rulings, and legislative changes on employee compensation, benefits, allowances, and deductions.
Review and implement payroll changes arising from amendments to:
- Income Tax Act and TDS regulations
- Employees' Provident Fund (EPF)
- Employee Pension Scheme (EPS)
- Employees' State Insurance (ESI)
- Professional Tax (PT)
- Labour Welfare Fund (LWF)
- Payment of Bonus Act
- Payment of Gratuity Act
- Code on Wages and other applicable labor laws
Payroll Accounting & Reporting
- Own payroll reconciliations, month-end accounting, accruals, journals, balance sheet reconciliations, reporting, and audit support.
- Review payroll reports to identify risks, trends, and process improvements.
Your Experience and Background include:
Education and Experience
- Fluent English communication skills, written and verbal, are essential.
- Bachelor’s degree in finance, Accounting, HR, Business Administration, or related field.
- Minimum 8 years’ payroll experience, including significant hands-on India payroll responsibility and at least 3 years in a lead, supervisory, or management role.
- Proven end-to-end India payroll experience in a multinational environment, with strong knowledge of India payroll legislation, taxation, labor laws, and statutory compliance.
- Experience with payroll implementations, migrations, transformations, or insourcing/outsourcing projects; ADP-to-house transition experience is highly desirable.
- Explicit experience building or insourcing an in-house payroll function, including process design, governance, controls, and transition from an external provider, is highly desirable.
- Strong payroll accounting, reconciliations, month-end, controls, audit support, and shared services experience.
- Exposure to international payroll operations or a regional/shared services payroll environment would be an advantage and offer the successful candidate the opportunity to develop broader international payroll experience.
Technical Skills
- Advanced Excel and payroll data analysis skills, including reconciliations, large datasets, and validation.
- Strong payroll systems experience, including ADP, BIPO or comparable payroll platforms, with experience supporting payroll implementations, migrations, testing and system optimization.
- Proficient in Microsoft 365 applications, including Excel, Word, PowerPoint, and Teams.
